Job Summary:

We are looking for a highly organized and proactive Administrative Staff & Project Assistant to join our team. The ideal candidate will be responsible for managing day-to-day administrative tasks, coordinating interviews, handling follow-ups, and providing support across various projects. This is a multi-faceted role that requires excellent time management, communication skills, and a hands-on approach to supporting a growing Premium Ayurveda and Perfume brand.

Key Responsibilities:

  • Administrative Management: Oversee daily office operations including scheduling meetings, managing office supplies, handling correspondence, and ensuring smooth office workflows.
  • Follow-Up & Coordination: Manage follow-ups with internal teams, clients, vendors, and potential candidates, ensuring deadlines and action points are addressed promptly.
  • Interview Coordination: Organize and schedule candidate interviews, communicate with HR, and assist with recruitment-related activities such as screening resumes and coordinating interview rounds.
  • Project Assistance: Assist in various brand projects across departments, including marketing, product launches, and event planning, ensuring timelines and deliverables are met.
  • Documentation & Reporting: Maintain organized records of business documents, create reports as required, and support the management with data entry, documentation, and research tasks.
  • Team Support: Provide general support to different departments, including attending meetings, taking notes, and ensuring project milestones are tracked.
  • Communication & Correspondence: Handle phone calls, emails, and other forms of communication, ensuring timely and professional responses.
  • Task Prioritization: Help the management team prioritize tasks and ensure smooth progress on both short-term and long-term projects.
  • Vendor & Client Coordination: Liaise with external vendors, suppliers, and clients to manage relationships, contracts, and project coordination.

Requirements:

  • Experience: 2-3 years of administrative experience, preferably in the beauty, wellness, or luxury sectors.
  • Skills: Strong organizational skills, attention to detail, and ability to manage multiple tasks simultaneously.
  • Communication: Excellent written and verbal communication skills in English and [Local Language].
  • Software Proficiency: Familiarity with office software (MS Office Suite, Google Workspace) and project management tools (Trello, Asana, etc.).
  • Multitasking: Ability to juggle multiple projects and administrative duties with efficiency.
  • Problem-Solving: Ability to identify challenges and provide effective solutions with minimal supervision.
  • Team Player: Willingness to support different departments and take initiative in various tasks and projects.
  • Interest in Wellness & Luxury: An understanding or passion for Ayurveda, wellness, and luxury perfumes is a plus.
